Events alert responders to required tasks and display task groups to help your responders coordinate and communicate correctly according to your response plans. Each task group can have as many tasks as you need to cover that subsection of event actions.
Important - Put Everything You Need in One Event - You Cannot Link Events Together
Rave Collaborate lets you put unlimited rules, task groups, tasks, and resources in each event, allowing you to fully input everything your response needs into one event entity.
To add a task to a task group:
-
Scroll to the Task Group you want to add to.
-
Select the Add a Task button under the Task Group header.
The Add Task window opens.
-
Open the Basics tab.
-
Enter a name for your task. This name displays in the task list to Collaborate users when the event is active, so use descriptive, short names.
-
Optional - add a description for your task to provide additional guidance to assignees. Descriptions can be up to 1,000 characters and are a good place for additional instructions, important phone numbers, and other information to help the task assignee.
-
Optional - add a document to the task. This document will display as a clickable link in the task list, making it easier to give responders additional instructions or context on the fly.
-
Optional – select one or more lists of potential assignees and add individual assignees if needed. You can pick from lists that are pre-authorized for task assignment use or from individuals with Rave Collaborate access.
Lists and individuals display different icons in this dropdown.
Lists have a grey multi-person icon:
Individuals have a black single-person icon:
Each assignee will receive an automatic notification of their assigned tasks when this event activates. They can claim tasks using their mobile phone or they can log in to Rave Collaborate to claim a task from the Dashboard.
